    Hi,

    We’re testing the sending of emails through our website e.g. an email notification to thank the user for their support. We noticed however that some of these email notifications seem to be using our Outlook accounts (its DNS is healthy and confirmed) which is the account we want to use, while others seem to be coming through a web hosting mailbox (which is slower, stops some emails and shows a mailed-by address that isn’t our domain). We have spoken to the web hosting company, but they keep assigning someone new for each reply and no progress has been made, in fact the reverse.

    We’re stuck, and need help. I thought at first it was the form, but the settings are fine and in no way include the hosts mailbox (which we didn’t even know existed). Additionally we saw that some wordpress update emails are being split as well, with some coming through outlook and the rest though this unwanted mailbox (which the hosts don’t recognise and yet say we can’t delete). This host mailbox is no where under the form settings, or user settings or settings general on WordPress

    Does anyone have any idea why our emails are being split? and how we may stop the hosting mailbox from being used?

    Would really appreciate any suggestions, as I feel like I’m hitting a brick wall with no where to go.

    Check with https://wordpress.org/plugins/wp-mail-debugger/ what happens to each email. You should see which way they are going.

    Additional check if you are using some plugin which manipulates wp_mail() e.g. to set up a SMTP-login. This plugin might have a bug that causes the emails to be sent via smtp from your outlook356 and directly from the hosting. If this is the result, contact the manufacturer of the plugin in question.

    Thank you for your help.

    I had a look at the plugin, but its not been tested since version 5.3.0, and having used a plugin previously without updates (it caused a couple of issues) I’d be nervous about doing it again.

    I just tried deactivating all the plugins, and then sent some test emails, but two out of the five still went through the host mail-box.

    Do you know of anything else I might please try?

    Hi,

    In case this helps anyone in the future, it turned out that they were all going through the host mailbox – this in unpreventable, unfortunately. Meanwhile the difference in showing this mailbox or not, was due to the SPF being a pass or being an SPF neutral. This apparently resolves itself after multiple emails from the same address. But I think this is as close as we’re going to get to an answer. I help it helps others in some way.
