1. When a booking is approved, the booker receives a confirmation email with the booking details. A QR code is attached.
    2. This email contains a link to the booking, which contains roughly the same information as the email.
    3. In this booking overview, you can click on a PDF, which displays the same information again.

It’s probably just me, but I find the same information three times confusing, and probably also for the booker. Perhaps I’ve configured my settings incorrectly? I don’t know.

Personally, I’d like to see a simple confirmation email upon approval of a booking, stating that the ticket is attached. This ticket would then be the PDF file.

      What do you think?

Yes this is by design. The central part of the booking is the “booking status page” where the info about booking + payment info is located. You can customize the confirmation email in settings (Approved booking receipt email template). So in your case the confirmation email might look like: “Thank you. Your booking is now approved. You can find the info at the link below:” And then there will be a link to the “booking status page”. There are lot of customization settings to control how the booking flow works. You can even turn off the emails sent but currently the “booking status page” is the key part of the booking flow…

    Thanks, I understand your perspective.
Most of our participants print their booking approval email and present it at the entrance of our event. For quick verification via the web-based companion app, I think it would be easier if the QR code were in the email itself, rather than as an attachment.
If the administrator could switch between displaying the QR code either in the email or as an attachment, that would be a huge help.
Thanks in advance for looking into this.

In settings there is a “Approved booking receipt email QR code” section. That allows you to turn on QR code display in the approved booking email.

Yes, I know. The problem is that the QR code is in the attachment. From experience, I know that most of our participants only print the email and forget to print the QR code separately. So my problem would be solved if the QR code were integrated into the email. Could you please take a look at this?
    Finally, best wishes for 2026!

Actually the “Approved booking receipt email QR code” should display QR code directly in the email. Are you using some mail SMTP plugin?

    Thread Starter jeepee999

    (@jeepee999)

Yes, I’m using the free version of WP Mail SMTP with Brevo as mailer. I’ve reviewed the settings but can’t seem to find a solution. Do you have any suggestions?

This needs to be investigated. Usually this is caused by SMTP plugin not allowing to add embedded images but WP Mail SMTP should work fine.

I just tested with WP Mail SMTP with Brevo and I can see the QR code just fine. I used web Gmail and Thunderbird mail clients.
Can you double check that “Approved booking receipt email QR code” is set to Booking ID?
And also are you using default “Approved booking receipt email template”?

In the meantime, I’ve checked my settings and done some testing.

I usually use the Telenet webmail client (Telenet is one of the largest internet providers in Belgium). The QR code always appears as an attachment. I have the same problem when I open my Telenet email in the iOS mail app on my iPad. I always have to print the QR code separately. I know you can specify that attachments should also be printed when printing, but I’m afraid the average user isn’t familiar with this.

I’ve also done a few tests with my Gmail email address. The QR code always appears as an attachment there as well. It is automatically printed at the bottom of the email.

I don’t know what other users of your plugin think about this, but I have the following suggestion: I believe a solution would be to include a direct link to a printable entrance ticket (PDF) in the approval email, this in addition to the link to the booking status. The participant can then choose whether to print this ticket or show it on their smartphone. Perhaps you could later provide that the administrator can customize the ticket’s design if desired (logo, organizer information, event description, etc.).

What’s your opinion on this? Sorry to keep harping on.

That is a good solution. I can implement a new keyword to approved booking receipt email template. Will create a ticket.

The booking PDF link feature was added in version 1.65.0
Now there is a [booking-pdf-link] keyword for approved booking receipt email template.

Tested and works fine! One detail: when I open the PDF, the text “Test” keeps appearing in my browser tab.

Will fix the “Test” browser tab in the next release.

A few more minor notes: although the translation into my language is 100% accurate, the words “approved” and “file generated” are in the PDF file still in English.

By the way, the reordering of the rooms works perfectly too!
