I have clients coming in with old documents they find doing a Google search. However, when I go to remove the media it does not show up in the media library. These PDFs are often 10+ years old. The Google search link takes them to a valid document, but I cannot find it in the backend WordPress in order to remove it, nor can I find the link on our website. Any ideas on where this document lives so I can remove it?

Look at the path of the file, which can be found via Google. If this path is not in /wp-content/uploads/, then the file is not managed via WordPress. In this case, you would have to log in via FTP and delete the file.

When searching in the media library, pay close attention to the file name. Copy it and enter it in the search field. Only the file name, not the entire path.

The file name DOES include this: https://healthygallatin.org/wp-content/uploads/2013/04/Expedited-Rewrite-Application.pdf

I have copied the title name “Expedited-Rewrite-Application” into the media library and it does not come up. I’ve also tried sorting by date loaded and the oldest media file I can find is from April 2014…

It should be April 2013, but probably just a typo right now 😉

You can try using a plugin that cleans up the media library. E.g. this one: https://wordpress.org/plugins/media-cleaner/ – I would recommend making a backup first.
