Z4K Orders Manager

Description

Z4K Orders Manager gives WooCommerce store owners one screen to work through their orders: see what needs doing, deliver it, and keep a record of what was sent.

Features:

  • Order dashboard – colour-coded order cards for Processing, On hold, Scheduled and Done orders, an All Orders list, live search, filters, saved views, order labels, priorities and private notes.
  • Automatic delivery – set delivery text per product or variation (with {order_id}, {customer_name} and {product_name} placeholders) and the order is delivered by email as soon as it is paid. Or keep the text as a pre-filled draft and deliver by hand.
  • Manual and partial delivery – deliver some items now and the rest later; every delivery is kept in the Delivery History, can be resent, and customers see theirs under My Account > Deliveries.
  • Order scheduling – move an order, or some of its items, to a future date. Scheduled orders get their own status and tab and go back to Processing automatically on the day.
  • Customer payment proofs – for bank transfer and other offline payments, customers upload a screenshot of their payment from My Account or from a link in the on-hold email. Files are kept where no web server can serve them (outside the public web folder, or encrypted when the server allows nothing else), under random names and with WordPress’s private status, so they are never listed publicly or reachable by address, also while the plugin is switched off. Customers open their own files; shop staff see them on the Transfers tab and in Media. Confirm, reject or ask for more on the Transfers tab.
  • Order age and SLA badges – every open order card shows how long it has waited and flags orders that passed your delivery deadline.
  • Dashboard and sales reports – today’s numbers, revenue, orders, top products and payment methods for any date range, with CSV export.
  • Suppliers – keep a supplier name, link, code and cost on each product; staff see where to buy each item on the order cards.
  • Email – an optional SMTP sender, editable customer email templates and a log of the emails the store sends.
  • Activity log of order actions, and a store-type setting (digital, physical or both) that hides tools you do not need.
  • Translation-ready: translations are provided through translate.wordpress.org.

Good to know: out of the box the plugin sends its own, editable versions of the WooCommerce customer emails (processing, on hold, failed, cancelled, refunded, customer note, new account and password reset) instead of the WooCommerce ones. Each one can be switched back to the WooCommerce email on the Mail tab.

Orders Manager Pro, a separate paid plugin, adds a support desk, license-key stock, shipping and cash on delivery, customer profiles, email marketing and a team portal. It is sold on z4market.com. This plugin does not contain, download or unlock any of it.

External services

This plugin does not contact any outside service on its own. One optional feature does, and only after an administrator sets it up:

SMTP sending. Off by default. If an administrator enables the SMTP sender on the Mail tab, the store’s emails are sent through the mail server the administrator enters there, with the credentials entered there. No other server is involved.

Orders Manager Pro page. The WooCommerce > Orders Manager Pro screen has two buttons that open z4market.com (https://z4market.com/) in a new tab when clicked. Nothing is sent to z4market.com unless you click one. z4market.com privacy policy: https://z4market.com/privacy-policy/ .

Installation

  1. Install and activate WooCommerce.
  2. Install this plugin from Plugins > Add New (or upload the ZIP) and activate it.
  3. Open WooCommerce > Orders Manager. Choose your store type, then look through the Settings and Mail tabs.
  4. To deliver automatically, open the Product Defaults tab and give your products delivery text with the Auto mode.

FAQ

Does it need WooCommerce?

Yes. WooCommerce must be active, with High-Performance Order Storage (HPOS) turned on. HPOS is the default for new WooCommerce stores; you can check it under WooCommerce > Settings > Advanced > Features. Without it the plugin shows a notice and stays idle.

Does it replace the WooCommerce emails?

By default, yes: it sends its own editable versions of the WooCommerce customer emails listed above. Each one can be switched back to the WooCommerce email on the Mail tab, under WooCommerce Email Templates.

Where do payment proofs go?

Where no web server can serve them, whatever the server is (Apache, nginx, LiteSpeed, IIS): into a folder of the plugin’s own outside the public web folder, by default next to the WordPress folder. When the server does not let PHP write outside the web folder (for example open_basedir), they are kept encrypted in uploads/z4k-private instead, where a direct address returns only encrypted data. To choose the parent folder yourself, add define( ‘Z4KOM_PRIVATE_DIR’, ‘/path/outside/the/web/root’ ); to wp-config.php; the files move there by themselves. The Transfers tab and Tools > Site Health show which mode is used.
Files get random names and WordPress’s “private” status, so they are not listed in the REST API, search or attachment pages, also while the plugin is deactivated. Shop staff (administrators and shop managers) can see them in Media > Library and on the Transfers tab; a customer can open only their own, through the plugin’s viewer. When you back up or move the site, include that folder (in encrypted mode the key is kept in the database).

Does it change how WooCommerce handles orders?

A little, to protect customers who have already paid:
* A payment gateway that reports “failed” or “cancelled” for an order that is already paid is ignored and the order keeps its paid status (an order note records it). Staff can still change the status by hand.
* The “payment failed” email is held back 60 minutes and the “order cancelled” email 12 hours, and is dropped if the order has been paid in the meantime. Both delays can be changed or set to 0 on the Mail tab.
* Unpaid orders are cancelled by WooCommerce’s own stock timer as usual. On Settings you can keep them payable for longer (Unpaid Order Grace Period, off by default), and you can turn on cancelling old on-hold orders after a number of days (off by default).

What happens to Scheduled orders if I deactivate or delete the plugin?

“Scheduled” is the plugin’s own order status. While the plugin is deactivated, WooCommerce does not know that status, so those orders are not listed until you reactivate it; nothing is lost. When you delete the plugin, every Scheduled order goes back to the status it had before (processing or on hold) with an order note, without emailing anyone.

What personal data does it store?

Everything stays on your own server. In the WordPress database: delivery records; an activity log of order actions (with the staff user and IP address); and the Mail Log, which is on by default and records the recipient, subject, time and result of every email the site sends (the message itself only if you turn that on). On disk: the payment-proof files customers upload, in the plugin’s private folder (see “Where do payment proofs go?”). Each log has its own retention setting, and the Mail Log can be switched off on the Mail tab. If you turn on the Tracking Pixel option on the Mail tab (off by default), delivery emails include a small image, served by your own site, that marks the delivery as opened. Suggested privacy-policy text is added under Settings > Privacy.

What happens to my data if I delete the plugin?

Deleting the plugin from the Plugins screen first moves Scheduled orders back to processing or on hold, then removes its settings, delivery records, the payment-proof files customers uploaded, logs and scheduled events. If Orders Manager Pro is installed, nothing is removed, because Pro uses the same data.

What is Orders Manager Pro?

A separate paid plugin from z4market.com with a support desk, license-key stock, shipping and cash on delivery, customer profiles, email marketing and a team portal. It replaces this plugin and keeps your settings and data.

Changelog

3.65.1

  • First release on WordPress.org.
  • Every form, AJAX request and filter / view parameter of the admin screens is accepted only with its nonce and the user’s permission; links in emails are checked by their signed token; My Account page titles come from WooCommerce’s endpoint titles.
  • Payment proofs are kept outside the public web folder (or encrypted where the server allows nothing else); files saved by an earlier release are moved there in the background after the update.
  • Updating from an earlier release of this plugin (downloaded from z4market.com): on the first request after the update the plugin moves its stored settings and order records to the names this release uses. The plugin is paused while it does (seconds on most stores, a few minutes on very large ones; wp-admin shows the progress). Orders paid during the pause are handed to automatic delivery afterwards. Going back to a release older than 3.62.2 afterwards is not supported: that release would show an empty plugin.
