Useful for everyday store messages
Create order note templates for shipping updates, delivery delays, payment reminders, and internal handover notes. Messages are added only when a staff member clicks a button. The plugin does not track shipments, change order status, or send automatic reminders.
Personalize your order notes
Supported placeholders:
{customer_name}, {customer_first_name}, {customer_last_name}, {order_number}, {order_id}, {order_total}, {order_status}, {billing_email}, {billing_phone}, {shipping_address}, {site_name}.
Example: Hello {customer_first_name}, your order #{order_number} has shipped.

Email and privacy
Customer notes use WooCommerce’s existing Customer note email and your site’s mail configuration. This plugin does not provide SMTP delivery or guarantee inbox placement. Private notes do not trigger customer emails.
Templates are stored in your WordPress database. The plugin does not add telemetry or contact external services directly. Customer messages use the site’s existing mail provider. Templates and order notes are retained when the plugin is deactivated or deleted.
Installation
- Install and activate WooCommerce.
- Upload the plugin ZIP through Plugins > Add New > Upload Plugin, then activate it.
- Open WooCommerce > Custom Order Notes and create or edit your templates.
- Enable WooCommerce > Settings > Emails > Customer note for customer emails.
- Open a saved order. Use a quick button, or select a template, review the preview, and click Add note.

Does it work with guest orders?

Yes. Customer note emails use the saved order billing email. A registered WordPress account is not required. Save changes to the billing email before adding a customer note.

Why does my email log say successful but Gmail receives nothing?

Mail-service acceptance is not inbox delivery. Local development tools such as Mailpit may capture mail instead of forwarding it. Configure and test an outbound SMTP or API mail service for external delivery. Check spam and your provider’s delivery logs.

Can I add private notes without an email address?

Yes. Private notes remain internal and do not send email.

Is the plugin translated into my language?

The interface is translation-ready. A POT file is included for translators. Translations are not bundled yet. Your saved template names and messages are editable content: write them in your customers’ language. They are not automatically translated.

Will it send a note when the order status changes?

No. Notes are added only through a staff action. Automation and scheduling are not included.

What should I do if a request fails?

Check the order notes before retrying: the note might have been saved before a network interruption. A retry can add another note. If reporting a bug, include WordPress, WooCommerce, and PHP versions, the order editor used, and steps to reproduce. Remove customer information from screenshots and logs.

Do I need the test files?

No. Tests are development tools and are excluded from the installable release ZIP.
