Description
Order Workspace for WooCommerce gives your team a structured place to manage the internal information behind every order.
Create custom order fields such as Priority, Supplier, Expected date, Internal reference, Quality check, or Preparation notes. Use them directly while processing an order, show important values as sortable columns, and find orders using the standard WooCommerce search and filters.
Instead of spreading operational details across order notes, spreadsheets, email, and separate tools, keep the information connected to the WooCommerce order where your team already works.
Need to edit fields directly in the Orders list, update multiple orders at once, or reuse filter combinations? Explore Order Workspace Pro.
Turn order details into a practical workflow
Different stores need different operational information. Order Workspace lets you define the fields that match your process without exposing them to customers or changing the checkout.
You can:
- Create Text, Long text, Number, Select, Yes/No, and Date fields.
- Choose which fields appear while editing WooCommerce orders.
- Display selected fields as columns in WooCommerce > Orders.
- Sort useful Workspace columns in ascending or descending order.
- Search Workspace information from the main WooCommerce order search.
- Search all Workspace fields together or select one specific field.
- Filter orders by an eligible Workspace field and value.
- Reorder fields to match the way your team works.
- Duplicate an existing field when you need a similar configuration.
- Archive and restore fields without losing historical order values.
- Retire Select options while preserving values already used on orders.
- Permanently delete an archived field and its stored values through safe background cleanup.
Find the right order faster
Workspace fields become part of the daily WooCommerce order-management experience.
The order search can include your active Workspace fields as well as WooCommerce’s standard order data. You can search across all available information, search only Order Workspace fields, or choose an individual field such as Internal reference, Supplier, or Expected date.
Date searches accept useful visible and numeric formats, while Select fields can be found using their readable option labels.
Supported Workspace columns can also be sorted directly from their column headers. Dates sort chronologically, numbers numerically, text alphabetically, Select values by their configured option order, and Yes/No fields by status.
Built for real internal processes
Order Workspace can support many operational workflows without becoming a separate back-office system.
Examples include:
- Made-to-order products: Priority, Supplier, Expected date, Production notes.
- Fulfillment: Preparation date, Quality check, Packing status, Internal reference.
- Wholesale and B2B: Supplier, Account reference, Handling instructions.
- Service orders: Priority, Scheduled date, Assigned team, Internal notes.
- Repairs or custom work: Intake reference, Target date, Completion check.
The fields are defined by your store and remain focused on the information your team needs to process orders.
Safe field lifecycle
Operational data should not disappear because a field is no longer needed.
Archiving removes a field from the active workflow while preserving its existing order values. You can restore it later, or permanently delete it through a deliberate cleanup action. Select options can also be retired without breaking historical orders that already use them.
Designed for WooCommerce orders
Order Workspace uses WooCommerce order APIs and CRUD instead of depending on a specific order-table implementation.
- Compatible with High-Performance Order Storage (HPOS).
- Compatible with legacy WooCommerce order storage.
- Works with Administrator and Shop Manager workflows.
- Multisite compatible, with Workspace data isolated per site.
- Uses WordPress capabilities, nonces, validation, sanitization, and escaping.
- No external service or remote account required.
Internal by design
Order Workspace fields are administrative information. This plugin does not display them to customers, add them to checkout, or include them in customer emails.
Version 1 manages fields created by Order Workspace. It is not a generic editor for arbitrary metadata from every third-party plugin. This focused scope keeps the workflow understandable and reduces compatibility problems.
Data ownership and privacy
Workspace field definitions and order values stay in your WordPress and WooCommerce database.
Order Workspace does not send Workspace order data to an external service and does not require a remote account. Deactivation and uninstall do not silently destroy merchant data.
Work faster with Order Workspace Pro
Order Workspace Free lets you create internal order fields, display them as columns, and find orders using field values.
Order Workspace Pro is a separate paid add-on that extends Free with:
- Inline Editing — update supported Workspace field values directly from the WooCommerce Orders list.
- Bulk Editing — update Workspace fields across multiple selected orders in one operation.
- Multiple Filters — combine several Workspace field conditions to find the orders you need.
- Saved Views — save Workspace filter combinations and reuse them later.
Keep using Free for your core workflow, or add Pro when your team needs faster editing and reusable filters.

FAQ
-
Is there a Pro version?
-
Yes. Order Workspace Pro is a separate paid add-on with Inline Editing, Bulk Editing, Multiple Filters, and Saved Views. It requires Order Workspace Free to be installed and active.
The Free features listed above remain available without purchasing Pro.
-
Are Workspace fields visible to customers?
-
No. Order Workspace fields are internal administrative information. This plugin does not show them on the storefront, checkout, customer account, or customer emails.
-
Which field types are included?
-
Text, Long text, Number, Select, Yes/No, and Date.
-
Can I search orders using Workspace values?
-
Yes. The WooCommerce order search can search active Workspace fields together with standard order information. You can also search only Workspace fields or choose one specific Workspace field.
-
Can I sort Workspace columns?
-
Yes. Supported Workspace columns can be sorted from the WooCommerce Orders table. Long text fields remain unsortable because sorting large free-form text is rarely useful.
-
Can I filter by several Workspace fields at once?
-
The Free version applies one Workspace filter at a time. Choose a field, enter or select its value, and apply the filter to the WooCommerce Orders list.
Order Workspace Pro lets you combine multiple Workspace field conditions and save filter combinations as Saved Views.
-
Does Order Workspace support HPOS?
-
Yes. Order Workspace declares HPOS compatibility and uses WooCommerce order APIs and CRUD. Legacy order storage is also supported.
-
Can I change a field type after creating it?
-
No. Field types are intentionally immutable after creation to protect existing order data and keep stored values predictable. You can duplicate a field and create a new definition when you need a different type.
-
Why are Workspace values read-only on some orders?
-
Order Workspace keeps active operational orders editable while terminal order states are displayed read-only. This helps protect information on orders that have already completed their workflow.
-
What happens if I archive a field?
-
Archived fields leave the active workflow, but their historical order values are preserved. You can restore an archived field later.
-
What happens if I retire a Select option?
-
The option stops being available for new selections, while orders that already use it keep their historical value.
-
How do I remove a field and its order data completely?
-
Archive the field, choose Delete permanently, and allow the background cleanup to finish. This avoids attempting potentially large cleanup operations in a single admin request.
-
What happens if I deactivate or uninstall the plugin?
-
Deactivation pauses plugin-owned background work. Uninstall removes only limited lifecycle state and does not silently delete your field definitions or stored order values.
-
Can Order Workspace manage metadata created by other plugins?
-
Not in version 1. Order Workspace focuses on fields created and managed by Order Workspace rather than exposing arbitrary third-party metadata.
-
Does the plugin send store or order data to an external service?
-
No. Order Workspace does not require an external account and does not send Workspace order data to a remote service.
-
Does it work on WordPress Multisite?
-
Yes. Field definitions and order values remain isolated per site.
-
Where can I get support?
