Opuswerk Legal PDFs for WooCommerce

Description

Shops are routinely expected to send customers a set of documents along with the order
confirmation. Doing that in WooCommerce normally means either editing functions.php by
hand or buying a large German-market suite for the sake of one feature.

This plugin does that one thing. You pick PDF files from your media library, tick the
WooCommerce emails each file belongs to, and they are attached from then on.

What it does

  • Attach any number of PDF documents. There is no document limit and no email-type limit.
  • Choose from every email your shop actually exposes. The list is read from WooCommerce
itself, so emails added by other extensions appear automatically and nothing is hardcoded.
  • Warn you when the attachments for one email add up to more than 2 MB, because large
attachments can be rejected by mail providers. It warns; it never blocks.
  • Skip a file that has gone missing, write a line to the WooCommerce log, and let the email
go out regardless. A broken document never delays or breaks an order confirmation.
  • Name the attached files in the email text, under the order details, so customers can see
what is attached and match it to the attachments. Optionally with a link to a free PDF
    reader.

For shops in Germany, Austria and Switzerland

If you want to send your terms and conditions (AGB), your cancellation policy
(Widerrufsbelehrung) and your privacy policy (Datenschutzerklärung) as PDF attachments with
the order confirmation, you can set it up here in a few minutes. Upload the documents to the
media library, choose which WooCommerce emails they belong to, and save. If you like, the
email also names the attached files in its text. The plugin helps you send your documents.
It does not check or judge whether your shop meets legal requirements.

A complete German translation is available, in the formal (Sie) and the informal (du) form.
WordPress loads it automatically from translate.wordpress.org, and the wording suits
Germany, Austria and Switzerland.

What it deliberately does not do

It makes no claim about your legal position. It helps you send documents you already have.
Whether those documents are the right ones, and whether sending them satisfies any
obligation you are under, is a question for you and your legal advisor.

It also does not generate PDFs, does not require an account, does not phone home, and does
not hold a feature back for a paid tier.

FAQ

Which documents can I attach to the order confirmation?

Any PDF in your media library. Common ones are the terms and conditions with the customer
information (AGB und Kundeninformationen), the cancellation policy with the model
withdrawal form (Widerrufsbelehrung mit Muster-Widerrufsformular) and the privacy policy.
You can assign each document to one or more emails, for example only the order
confirmation, or the invoice and the new-account email as well.

Which emails can I attach documents to?

Any email your shop provides. The plugin reads the list from WooCommerce instead of
hardcoding it, so emails added by other extensions are available automatically.

How is this different from Germanized Pro or German Market?

Both are full German-market suites and both put this feature behind a paid tier. Germanized
offers legal PDF attachments in its Pro version only; German Market includes it inside a
licence for the whole suite. If you already run one of those and pay for it, you do not
need this plugin.

This plugin exists for the shop that wants exactly this one capability and does not want to
buy, configure and maintain a suite to get it. It is free, it is single-purpose, and there
is no paid tier that unlocks the feature you came for.

Is there a paid version?

There is a paid add-on, Opuswerk Legal PDFs Pro, for shops that also want a record of what
was sent: which file went out with which order email, when and in which version, with a
copy of each version to download again. Everything this plugin does stays free and complete
without it. Details: https://opuswerk.at/plugins/legal-pdfs-pro/

Does the email say which documents are attached?

Yes, once you switch it on under “Name the documents in the email” on the same tab. A
sentence under the order details then names every attached file, for example: “The
following documents are attached to this email as PDF files: agb.pdf and widerruf.pdf.”
Customers see file names, not titles, so give your PDFs clear names. You can write your own
sentence and add a link to a free PDF reader.

New installs start with it switched on. Shops that update from 1.0.x keep their emails
exactly as they were until they switch it on.

Does this make my shop legally compliant?

No, and no plugin can. It attaches the files you choose to the emails you choose. Whether
your documents are correct, current and sufficient is between you and your legal advisor.

How do I attach a PDF to the order email?

Go to WooCommerce, then Settings, then the “Legal attachments” tab. Choose “Add PDF” to
pick a file from your media library, tick the emails it should go out with, and save.

What happens if a file is deleted or unreadable?

The email is still sent, without that attachment, and a warning is written to the
WooCommerce log under WooCommerce, Status, Logs, with the source
opuswerk-legal-pdfs. Order emails are never delayed or blocked by a document problem.

Why does it warn me about 2 MB?

Mail providers apply their own attachment size limits, and large attachments make delivery
less reliable. When the documents attached to one email exceed 2 MB in total, the settings
screen says so. It is advice, not a restriction, and you can save and send anyway.

Does it work with HPOS and with the block checkout?

Yes. The plugin declares compatibility with both High-Performance Order Storage and the
block checkout. It works with the classic checkout too, because it hooks into WooCommerce’s
email layer rather than the checkout.

Does it send any data anywhere?

No. The plugin makes no external requests of its own.
