Description

Lavenex Email Order Tracking turns a courier company’s shipment report into finished, notified WooCommerce orders in one upload — no manual copy-pasting of tracking numbers, no separate “mark as shipped” step, and no forgetting to email the customer.

Upload the courier’s Excel (.xlsx) or CSV report using the plugin’s fixed seven-column template, and for every row the plugin can safely match to an order, it will:

  • Save the courier name and AWB / tracking number to the matching order.
  • Automatically move that order from Processing to a dedicated “Dispatched” status — the plugin registers this status itself, so no other shipment-tracking plugin is required.
  • Send exactly one “Dispatched” notification email to the customer, with built-in duplicate-send protection so re-running an import never emails a customer twice for the same tracking details.
  • Log every import — matched, skipped, and why — in a searchable Tracking Mail History screen.

Rows that can’t be safely processed (blank tracking number, an order that doesn’t exist, a cancelled order, a missing billing email, and so on) are never guessed at — they’re clearly listed with the exact reason, so nothing silently goes wrong.

This is a genuinely free plugin. Every feature described above works with no license, no time limit, and no reduced functionality. There is an optional Pro license (see “Optional Pro upgrade” below) for store owners who want priority support and extra features, but it is never required to use this plugin.

Optional Pro upgrade

The plugin’s own admin screen includes a “Pro License” tab. Activating a license there is entirely optional and only unlocks extras such as priority support — it never restricts or removes any of the free functionality described above. If you don’t have a license, the plugin works fully without one, forever.

External services

This plugin connects to an external license server operated by the developer (Lavenex, at lavenex.com) only if you choose to enter a Pro license key on the plugin’s “Pro License” tab. If you never enter a license key, this plugin makes no external connections and sends no data anywhere.

When you activate, validate, or deactivate a Pro license, the plugin sends your license key and this site’s URL (home_url()) to https://lavenex.com/wp-json/eeot-license/v1/ over HTTPS, so the server can confirm the license is valid and tied to this site. This happens: (1) when you submit the activation form, (2) when you submit the deactivation form, and (3) once per day via a scheduled background check, but only while a license key is saved. No order data, customer data, or file contents are ever sent to this server.

Installation

  1. In your WordPress admin, go to Plugins Add New, search for “Lavenex Email Order Tracking”, and click Install Now, then Activate. (Or upload the downloaded zip via Plugins Add New Upload Plugin.)
  2. A new menu item, WooCommerce Lavenex Email Order Tracking, will appear.
  3. Download the built-in Excel template from that screen and fill it with your courier’s shipment report, or export your courier’s report directly into the same seven columns.
  4. Upload the file, preview the matches, and click Dispatch. That’s it — no license or purchase required.

FAQ

Do I need a license key to use this plugin?

No. Every import, dispatch, and email feature is free and fully functional with no license key. A Pro license is entirely optional and only adds extras like priority support.

Does this replace WooCommerce’s own order emails?

No — it adds one new “Dispatched” email specifically for this workflow. Your existing Processing/Completed emails are untouched, and the new email can be edited or disabled like any other WooCommerce email under WooCommerce Settings Emails.

What columns does the import file need?

Exactly seven, in this order: customer name, ship date, courier name, AWB/tracking number, receiver pincode, receiver name, and the WooCommerce order number. A template with these headers is downloadable from the plugin’s own admin screen.

Will it resend the email if I upload the same file twice?

No. Each courier + AWB combination is fingerprinted per order, so a repeat import of identical tracking details for an already-dispatched order is silently skipped — no duplicate email.

What happens if WooCommerce gets deactivated?

The plugin detects this and safely deactivates itself with an admin notice, rather than causing a fatal error.

Does activating a Pro license send any of my order or customer data anywhere?

No. Only your license key and this site’s URL are sent, and only when you activate/validate/deactivate a license. See “External services” above.
