DigixData In-Kind Ledger

Description

DigixData In-Kind Ledger helps a nonprofit administrator record donated items and prepare acknowledgment letters using wording the organization has reviewed. It runs independently of donation payment plugins.

  • Immutable numbered gift entries with organization and donor details, date received, item descriptions and reviewed wording.
  • Private printable letters. Use your browser’s Print / Save as PDF; the plugin does not create public files or server PDFs.
  • CSV export with spreadsheet formula protection.
  • Void mistaken entries with a reason while preserving their original details.
  • WordPress donor-email privacy export and erasure support.

All included functionality is Free. There is no premium edition, external account, record paywall, payment processing, automatic email, public form, uploads, analytics, background job or external service. The ledger workflow supports single-site WordPress only. On multisite the plugin can activate cleanly, but stays paused with an administrator/network notice and creates no ledger table or workflow routes.

The plugin does not assign a value to donated items, provide tax advice, verify tax deductibility or guarantee legally sufficient acknowledgments. Your organization supplies and reviews the wording, including any appropriate goods-or-services statements. Printing is preparation, not proof of delivery. It is not a cryptographic or tamper-proof audit system.

Installation

If upgrading the unpublished 0.1.0 pilot, deactivate that older plugin first. Keep its data; the renamed plugin uses the same local table and settings. Do not activate both copies together.

  1. Upload the plugin ZIP through Plugins > Add New > Upload Plugin and activate it.
  2. Open Tools > In-Kind Ledger as an administrator.
  3. Enter a received gift and review all details and wording before saving.
  4. Open the protected printable letter or export the ledger CSV.

FAQ

Can I edit a saved entry?

No. Void a mistaken entry with a reason and create its replacement. Saved organization details and wording remain stable for reprints.

Does this send receipts, calculate values or process donations?

No. It records donated-item descriptions and prepares your reviewed wording for printing. It has no payment or email integration. It does not connect to GiveWP, Charitable or WooCommerce.

Where does data go?

Organization/donor details, descriptions, wording and void events remain in one table in your WordPress database. Only administrators access plugin screens and downloads. Donor email enables WordPress privacy export/erasure. The plugin sends no external requests. Your website/hosting, backups and handling of exported or printed documents remain your responsibility.

What happens on deactivation or uninstall?

Deactivation retains data. Uninstall retains the table and settings by default so records are not accidentally lost. Tools > In-Kind Ledger includes an explicit setting to delete all plugin data on uninstall. Export before enabling it. Native content, users and unrelated plugin data/jobs are preserved.

How are large exports handled?

The screen shows 20 entries per page and CSV reads database batches of 100. It observes an interval, not a transactional snapshot; concurrent voids or privacy erasure can affect results. Capacity evidence and limitations are in the release documentation.

How can I get support?

Use the WordPress.org support forum once listed, or https://github.com/jasoncaston/digixdata-plugins/issues before listing. Include versions and synthetic reproduction steps, never real donor details or acknowledgment contents.
