Pro Web Design Order Note Templates for WooCommerce

Description

Pro Web Design Order Note Templates for WooCommerce lets you create reusable note templates and insert them into WooCommerce orders and subscriptions with a single click — no more typing the same messages over and over.

Key Features

  • 📝 Unlimited templates, even on the free plan — create as many customer-facing and internal note templates as you need
  • One-click insert — select a template from a dropdown and insert it instantly
  • 🔄 Smart variables — automatically fills in order/subscription details:
    • {order_id} — order number
    • {subscription_id} — subscription number
    • {customer_name} — customer’s full name
    • {billing_email} — customer email
    • {total} — order total
    • {next_payment} — next payment date (subscriptions)
    • {start_date} — subscription start date
  • Full HPOS support — works with WooCommerce High-Performance Order Storage
  • 📋 WooCommerce Subscriptions support — works on both order and subscription screens
  • 🔒 Two note types — customer-visible and internal (staff only) templates
  • 🔢 Custom sort order — arrange templates in any order

Who Is This For?

Any WooCommerce store that adds order notes regularly — support teams, shop managers, fulfilment staff. Especially useful for stores with WooCommerce Subscriptions where you need to send consistent messages about renewals, payment issues, or account updates.

HPOS Compatible

This plugin is fully compatible with WooCommerce’s High-Performance Order Storage (HPOS). The template selector appears on both classic and HPOS order/subscription screens.

FAQ

Does it work with WooCommerce HPOS?

Yes! The plugin is fully tested and compatible with WooCommerce High-Performance Order Storage.

Does it work with WooCommerce Subscriptions?

Yes! Templates can be inserted into both orders and subscriptions. Subscription-specific variables like {next_payment} and {start_date} are available on subscription screens.

Can I have both customer and internal templates?

Yes. When creating a template, choose “Customer” (visible to the buyer via email) or “Internal” (visible to staff only). Both types appear in separate groups in the dropdown.

Will the variables be replaced automatically?

Yes. When you select a template, the plugin fetches the current order/subscription data and replaces all variables before inserting the text into the note field.

Does it slow down my store?

No. The plugin only loads its assets on WooCommerce order and subscription admin screens. There is no frontend impact.

Changelog

1.2.3

  • Fixed: template category handling (the field, its save logic and the DB-column check) was still present in the free version’s shared code, only inert — moved entirely into the Professional-only module so it is physically absent from the free build, matching how PDF attachments are already handled
  • Fixed: the free version’s database table no longer creates the Pro-only category/pdf_attachment columns at all — they are added only when the Professional build runs, and on upgrade to Pro they are added automatically without touching existing data
  • Internal: PDF attachment save-handling gate now also keyed off the Professional-only class instead of a runtime license flag, for consistency
  • Fixed: readme Installation section pointed at a stale, incorrect folder name and had leftover untranslated text in the menu path

1.2.2

  • Fixed: WooCommerce Subscriptions screen support is no longer restricted to the Pro plan — the free version now shows the template selector and all order/subscription variables on subscription screens too
  • Fixed: internal Freemius integration function/variable/hook renamed to use the plugin’s own prefix, avoiding possible naming conflicts with other plugins

1.2.1

  • Fixed: text domain in the Professional-only modules (categories, import/export, auto-insert, PDF attachments) updated to match the renamed plugin

1.2.0

  • Changed: removed the 3-template cap on the free plan — the free version now supports unlimited templates
  • Changed: renamed the plugin to “Pro Web Design Order Note Templates for WooCommerce”
  • Added: Requires Plugins: woocommerce header

1.1.6

  • Internal: code style suppressions rewritten so they survive the free build process

1.1.5

  • Internal: premium feature code is now excluded from the free distribution rather than disabled within it

1.1.4

  • Fixed: the Categories screen was squeezed into a narrow column, breaking category names across lines
  • Fixed: the delete button on the Categories screen wrapped onto a second line
  • Improved: Import / Export panels are now equal width; Delete and Rename buttons have accessible labels

1.1.3

  • Fixed: a fatal error could occur when WooCommerce added an order note automatically
  • Fixed: PDF attachments were never actually linked to the note they belonged to
  • Improved: PDF files are now validated as local uploads before being emailed

1.1.2

  • Fixed: templates were not saved when the Pro version was active — the database schema was missing the columns Pro features write to
  • Fixed: a failed save reported success instead of showing the error
  • Fixed: categories and PDF attachments were lost when exporting and importing templates
  • Improved: schema upgrades now run reliably on existing installs

1.1.1

  • Fixed: corrected plugin slug to match WordPress.org repository

1.1.0

  • Added: Import/Export templates (JSON)
  • Added: Template categories with grouping in the note selector
  • Added: Auto-insert template on order status change
