Volixta Support is a self-hosted WordPress helpdesk and support ticket system designed to help you manage customer requests, organize support conversations and provide professional customer support directly from your WordPress dashboard.

Create and manage support tickets, track request statuses, set priorities and reply to customers from a dedicated helpdesk workspace. Give your customers a private support portal where they can submit tickets, follow conversations, read support replies and manage their support access.

Create flexible support plans with limited or unlimited ticket allowances, configurable durations, automatic quota renewals and customer access rules. Assign plans manually, through WordPress user roles or via optional WooCommerce purchases.

Customize your helpdesk with three interface modes — Standard, Immersive and Focus — available independently for the administrator workspace and customer support portal.

Volixta Support offers three interface modes for both the WordPress administrator workspace and the frontend customer support portal:

Private customer support portal

Provide customers with a dedicated Support Center directly on your WordPress website.

Volixta Support creates a customer portal page using the shortcode:

Logged-in customers can:

The customer portal uses WordPress authentication, nonce verification and ticket ownership checks to protect private support conversations.

Customers can only access tickets associated with their own WordPress account.

Support products, plans and ticket quotas

Create flexible support plans to control customer eligibility, manage ticket allowances and organize support access by product or service.

Volixta Support uses local support products that are independent of WooCommerce products. These products help organize customer requests and determine which support plans provide access.

Available features include:

  • Allow unrestricted ticket submissions for products without linked support plans.
  • Require eligible customer access for products covered by an active support plan.
  • Keep products protected when they are linked only to inactive plans.
  • Create support plans with limited or unlimited ticket allowances.
  • Set plan durations in days, weeks, months or years.

When one support plan covers multiple products, its ticket allowance is shared across tickets created through that plan.

Customer eligibility, support plan access and ticket quotas are checked on the server before a new support ticket is created.

Optional WooCommerce integration

Volixta Support works independently of WooCommerce. You can manage support tickets, customer conversations, support products and support plans without installing an eCommerce plugin.

When WooCommerce is available, you can connect purchasable WooCommerce products to support plans and offer paid customer support access directly from your website.

  • Link a WooCommerce product to a local support plan.
  • Automatically grant or extend support access when eligible orders reach Processing or Completed.
  • Handle repeated purchases and product quantities while preserving existing customer entitlements.
  • Track WooCommerce purchases and associated support plan access.
  • Revoke only the entitlement contributed by a cancelled, failed or refunded order.
  • Display purchased support plan information, payment amounts and order links.
  • Provide direct add-to-cart actions for supported simple WooCommerce products in the customer portal.

WooCommerce products used to sell support plans remain separate from the local support products customers select when submitting support tickets.

This allows you to offer support plans through WooCommerce while managing ticket eligibility and customer conversations directly within Volixta Support.

Email notifications, reply templates and hosting SMTP

Keep customers informed and streamline support communication with email notifications, reusable response templates and built-in SMTP configuration.

Volixta Support can use the default WordPress email delivery system or connect directly to your hosting mailbox through SMTP.

Email and SMTP features:

  • Support-related email notifications.
  • Configurable sender email address.
  • Custom SMTP host and port.
  • TLS/STARTTLS and SSL/SMTPS encryption options.
  • Optional SMTP authentication using a mailbox username and password.
  • SMTP test email directly from the plugin settings.
  • SMTP delivery limited to Volixta Support emails by default.
  • Optional site-wide SMTP routing for other WordPress emails.

The built-in SMTP transport does not require Gmail OAuth, Microsoft OAuth or an external email API.

SMTP passwords are encrypted using key material derived from WordPress authentication salts. Plaintext passwords are not returned in administrator settings responses, and standard TLS certificate verification remains enabled.

Reusable reply templates:

Create and manage reusable support response templates for common customer questions.

Administrators can insert saved replies into ticket conversations to respond more efficiently and maintain consistent support communication.

Optional private ticket attachments

Administrators can include supported files when creating support tickets.

Supported formats include common image files, PDF, TXT, CSV, ZIP and Office documents, subject to WordPress and PHP upload limits and a maximum file size of 10 MB.

Private attachment retention is optional and can be configured from the plugin settings.

When enabled, private attachment storage provides:

  • Customer- and ticket-specific storage folders.
  • Randomized filenames for stored files.
  • AES-256-GCM encryption for retained private attachments.
  • Authenticated downloads with nonce verification and ownership checks.
  • File validation that rejects executable files, scripts and SVG uploads.

When private retention is disabled, administrators can still include supported attachments in outgoing ticket emails without permanently storing them on the server.

Retained attachments are stored under the site’s uploads/volixta_support_files directory.

On Apache and LiteSpeed servers, Volixta Support creates a deny-all .htaccess file to help prevent direct access to stored attachments.

Nginx does not process .htaccess files. Administrators using Nginx must apply the additional access-denial rule provided in the plugin settings.

Keep your WordPress authentication and security salts available and unchanged to maintain access to encrypted attachments.

Uninstalling Volixta Support

Uninstalling the plugin permanently removes its dedicated database tables, plugin settings, support tickets, conversations, reply templates, support products, plans, customer assignments and related plugin data.

Private ticket attachments stored by Volixta Support are also removed during uninstall.

WooCommerce orders and WordPress user accounts are not deleted by the plugin’s uninstall process.

Important: Uninstalling Volixta Support may permanently delete customer support records. Back up your WordPress database and any important support attachments before uninstalling the plugin.

Installation

  1. Install the plugin using Plugins > Add New > Upload Plugin, or upload its folder to /wp-content/plugins/.
  2. Activate Volixta Support in WordPress.
  3. Complete the setup wizard for interface design, email settings, support products and optional plans and customers.
  4. Open Volixta Support > Settings to configure the administrator and customer portal interface designs independently.
  5. Configure email notifications and, optionally, hosting SMTP. Use the SMTP test action to confirm delivery.
  6. Add or review local support products and optional support plans in Plans & Products.
  7. Configure manual, role-based or optional WooCommerce plan assignment as needed.
  8. Review the generated Support Center page or place [volixta_support_portal] on a suitable frontend page.
  9. Add the portal page to your site’s navigation so customers can find it.

FAQ

Can I customize the WordPress administrator interface and customer portal separately?

Yes. Volixta Support offers three interface modes for both the administrator helpdesk workspace and the frontend customer portal. You can configure each interface independently from the plugin settings without affecting tickets, customer data or access permissions.

Where can customers submit and manage support tickets?

Volixta Support creates a dedicated Support Center page using the [volixta_support_portal] shortcode. Logged-in customers can submit support tickets, view their ticket history, reply to conversations and check their support plans and remaining ticket allowances.

Can customers access another customer’s support tickets?

No. Customer portal requests require WordPress authentication, nonce verification and ticket ownership checks. Customers can only view and reply to tickets associated with their own WordPress account.

Do I need WooCommerce to use Volixta Support?

No. Volixta Support works independently of WooCommerce. You can manage support tickets, customer conversations, support products, ticket quotas and support plans without WooCommerce. The integration is only required when you want to sell support plans through WooCommerce purchases.

Can I provide unlimited support without requiring a support plan?

Yes. Support products without linked support plans allow customers to submit tickets without a plan or ticket quota. You can also create support plans with unlimited ticket allowances. Products linked only to inactive plans remain protected.

Can I create support plans with ticket limits and expiration dates?

Yes. You can create support plans with configurable ticket quotas, covered products, durations and renewal periods. Plans can expire after a specified number of days, weeks, months or years, or have no expiration date. Ticket quotas can renew automatically or remain unchanged until manually managed.

Can I assign support plans to customers without WooCommerce?

Yes. Administrators can assign support plans manually to existing WordPress users or configure automatic plan assignment based on WordPress user roles. Role-based assignments can apply to existing users, newly registered users or both.

Can one support plan cover multiple products?

Yes. A single support plan can cover multiple local support products. When a plan has a limited ticket allowance, its quota is shared across tickets submitted for all products covered by that plan.

Can I sell customer support plans through WooCommerce?

Yes. The optional WooCommerce integration lets you connect a WooCommerce product to a support plan. Eligible purchases can automatically grant or extend customer support access when an order reaches Processing or Completed.

What happens when a WooCommerce order is refunded or cancelled?

Volixta Support revokes only the support-plan entitlement contributed by the affected order. Other valid purchases, customer entitlements and purchase history are preserved.

Does Volixta Support support email notifications and SMTP?

Yes. Volixta Support sends support-related email notifications using the default WordPress mail system or its built-in hosting SMTP transport. You can configure SMTP authentication, encryption, server settings and sender information directly from the administrator workspace.

Can I use the built-in SMTP connection for all WordPress emails?

Yes. By default, the built-in SMTP transport handles only Volixta Support emails. You can optionally enable site-wide SMTP routing for other WordPress emails, including notifications generated by WooCommerce and other plugins.

Can I attach files to support tickets?

Administrators can attach supported files when creating tickets, including images, PDF documents, text files, ZIP archives and common Office documents. Attachments are subject to file-type validation, server upload limits and a maximum file size of 10 MB.

Are private ticket attachments encrypted and protected?

Yes. When private attachment retention is enabled, retained files are encrypted on disk using AES-256-GCM. Downloads require authentication, nonce verification and ownership checks.

On Apache and LiteSpeed, the plugin also creates a deny-all .htaccess file to help prevent direct access to stored attachments. Nginx administrators must configure the additional access-denial rule shown in plugin settings because Nginx does not process .htaccess files.

Can I send an attachment without storing it permanently?

Yes. When private attachment retention is disabled, administrators can still include a supported file in an outgoing ticket email without keeping a permanent copy on the server.

Does Volixta Support require an external helpdesk platform?

No. Volixta Support is a self-hosted WordPress helpdesk plugin. Support tickets, conversations, customer records, support products and plans are managed directly within your WordPress installation. External helpdesk services are not required for core functionality.

Where is Volixta Support data stored?

Support tickets, messages, customer plan assignments, support products and purchase records are stored in dedicated database tables within your WordPress installation. Optional private ticket attachments are stored in a protected directory under the site’s WordPress uploads folder.
