ZM Labs Accounting Export for WooCommerce

Description

ZM Labs Accounting Export for WooCommerce converts your orders, payments and refunds into double-entry accounting entries (debit = credit, to the cent) and exports them for your accounting software, so you no longer re-key sales by hand every month.

The free version exports the FEC (Fichier des Écritures Comptables), the 18-column format required by the French tax administration and accepted by French accounting software.

What the plugin does

  • Invoice, payment and credit note entries – each document is dated on its own event (order, payment, refund), posted to its own journal and exported once.
  • VAT by tax class – one VAT account per WooCommerce tax class (standard, reduced, zero rate…).
  • EU One-Stop-Shop (OSS) VAT – a dedicated VAT account per billing country for intra-EU B2C sales.
  • Sales by product category – for example goods on 707 and services on 706, line by line.
  • Payment gateways – one treasury account per gateway, and optional gateway fees (Stripe, PayPal…) posted to a fee account.
  • Customer accounts – a single collective account or one account per customer, with a configurable prefix and length.
  • Invoice number – order number, a meta field from your invoicing plugin, or a generated sequence.
  • Duplicate protection – exported orders are locked so they are never exported twice; an “Accounting export” column and bulk actions in the order list let you see and unlock them.
  • Preview – browse the entries of a period before generating any file, with no side effect.
  • Background export with history – large periods are processed in the background; past files stay downloadable.
  • Setup wizard – ready-made charts of accounts (France PCG, Belgium PCMN, Germany SKR03 / SKR04, United Kingdom) prefill accounts and journals.
  • HPOS compatible – uses WooCommerce CRUD APIs only, with High-Performance Order Storage or classic storage.

Have your accountant check the accounts and journals once, before your first export: the plugin applies your settings, it does not replace their advice.

Premium

ZM Labs Accounting Export for WooCommerce Premium adds 12 export formats – Sage 100, Sage 50, EBP, Ciel, DATEV, Exact Online, Xero, QuickBooks, SAP FI/CO, Pennylane, Zoho Books and Holded – and the automatic monthly export sent by email. A 14-day free trial is available, no payment method required.

External services

This plugin uses the Freemius SDK to manage licences, the Premium trial and updates of the Premium version.

  • Opt-in: when you first open the plugin, Freemius asks whether you agree to share basic information. Only if you accept, it sends your name and email address, the site URL, the WordPress, WooCommerce and PHP versions, the plugin version and the list of active plugins and theme, to help us improve compatibility and send you important updates. You can skip, and change your choice later from the plugin’s menu.
  • Licence and trial: when you start a trial or activate a Premium licence, the licence key, the site URL and your email address are sent to Freemius to validate the licence.

No order, customer or accounting data is ever sent. Freemius Terms of Service and Privacy Policy.

FAQ

Does the plugin send data to my accounting software?

No. It generates a file that you (or your accountant) import into the accounting software. Nothing is sent to a third party.

Can an order be exported twice?

No. Each exported document (invoice, payment, credit note) is locked. If you need to export an order again, for example after changing an account, unlock it from the WooCommerce order list (bulk action).

How are refunds handled?

Each refund becomes a credit note that reverses the original invoice (same sales, VAT and OSS accounts). It is exported in the period of the refund, even if the order was exported earlier.

My shop sells in several currencies.

The plugin handles one currency, the shop currency. Documents in another currency are exported with their amounts in that currency, without conversion, and the export shows a warning listing them.

Is the plugin compatible with High-Performance Order Storage (HPOS)?

Yes, and with the classic order storage too.

Where are the generated files stored?

In a protected folder of your uploads directory, with direct access denied. Files are downloaded from the export history, which requires the “manage_woocommerce” capability.

Changelog

1.6.4

  • First version published on WordPress.org.
  • The plugin is renamed ZM Labs Accounting Export for WooCommerce.
  • Settings, options, hooks and order metadata now use the unique prefix zmlabs_aex_. Existing settings, export history, invoice counters and already-exported markers are migrated automatically on update.
  • The setup reminder is shown only on the Plugins screen and on the plugin page, and the trial promotion notice is no longer displayed in the dashboard.

1.6.3

  • Fix: the FEC now follows article A47 A-1 of the French tax procedures code: columns 7 and 8 are named CompAuxNum and CompAuxLib, and amounts use a decimal comma.
  • Fix (Premium): Xero exports over 300 lines (Xero’s import limit) are split into several files, delivered in a ZIP archive, without splitting a journal.
  • Fix (Premium): QuickBooks exports give each journal entry its own number (an invoice and its payment were merged) and write dates as DD/MM/YYYY.
  • Fix (Premium): DATEV invoices and credit notes are booked gross, one line per sales account and VAT rate, without VAT lines: DATEV calculates the VAT (SKR03 / SKR04 automatic accounts chosen by rate). OSS sales use account 8320 / 4320 with tax key 240 and the destination country and rate. Previously the VAT was counted twice.
  • The German charts of accounts (SKR03 / SKR04) use the default debtor 10000 instead of the collective accounts 1400 / 1200, which DATEV does not post to directly.
  • The monthly export email attaches the file under its download name and extension.

1.6.2

  • Fix: activating the Premium version while the free version is active no longer causes a fatal error.
  • The free version contains no licence check: Premium code, including the licence check, ships only with the Premium version.

1.6.1

  • The interface is now in English, with French, German and Dutch translations.
  • The free version contains only free code: Premium export formats and the monthly export are delivered with the Premium version.

1.6.0

  • Free version (FEC export) and Premium version (12 more formats and the monthly export by email).

1.5.9

  • Readable payment method labels in entry descriptions.
  • DATEV header: the shop name is used as the file description.

1.5.8

  • New formats: Zoho Books and Holded. Spanish labels.

1.5.7

  • New format: Pennylane.
