Veltrio – Facturas simplificadas para Quipu

Description

This plugin is intended for stores in Spain that have a Quipu account, and its interface is in Spanish. Veltrio – Simplified invoices for Quipu connects WooCommerce to your Quipu account. When you receive payment for an eligible sale without a NIF, it sends the order to Quipu, which issues and numbers the simplified invoice. It does not send any data to Veltrio servers.

This plugin does not issue, number or record invoices. It sends your Quipu account the data from orders without a NIF that meet the conditions for a simplified invoice, and Quipu issues and numbers the invoice and generates the records required by invoicing regulations (including VERI*FACTU). The invoicing system requirements and the corresponding statement of responsibility are Quipu’s responsibility. If you have questions about your case, consult your adviser. Do not use another plugin at the same time to generate invoices or receipts for the same orders: you would have two documents for the same sale.

Orders it does not send

The plugin leaves the order pending manual action, out of scope or for the Pro version when it detects any of these cases:

  • The customer has provided a NIF/CIF or a European VAT number: this requires a full invoice, available in the Pro version.
  • The billing or shipping address is outside Spain, or is in the Canary Islands, Ceuta or Melilla. It also does not work for a store established in those territories or outside Spain.
  • The currency is not the euro, there is an equivalence surcharge, any line has 0% VAT or a rate other than 21%, 10% or 4%, or sufficient tax data is missing.
  • The total, including shipping, exceeds the selected threshold of €400 or €3,000, or is not positive.
  • A gift card has been applied, there is a refund before sending, or the payment date and issue date fall in different months, or the payment date is unknown.
  • Its amounts do not match the lines that Quipu would receive.
  • The customer has entered a company without providing a NIF/CIF, if the “Empresa = B2B” review is enabled (enabled by default).

In all these cases, the order has NO invoice and the plugin will not create it later: you must issue it yourself in Quipu (orders with a NIF must also be issued manually, even with the Pro version).

Orders from before activation are not sent; if you had not already invoiced them, invoice them yourself in Quipu.

Ordinary coupons are treated as discounts. This plugin is not suitable for transactions under the special scheme for used goods (REBU) or the special scheme for travel agencies.

Refunds, changes and corrections

The free plugin does not create corrective invoices or change tax data on an invoice that has already been issued. If you refund an order after Quipu has issued the simplified invoice, the plugin displays a notice: you must issue the corresponding corrective invoice directly in Quipu. If the customer later adds a NIF/CIF and needs a full invoice, you must replace the simplified invoice in Quipu with a reference to the original document; do not create a second, separate invoice.

External services

This plugin connects only to the Quipu API, hosted at getquipu.com, to provide the feature you have configured.

The connection is made when testing credentials or loading numbering series; when an eligible order reaches the configured paid status; during retries and checks that prevent duplicates; and when an administrator asks to check a document or download its PDF. Bank transfers, cheques, cards, PayPal and Bizum are processed when the order moves to “Processing”; cash on delivery is processed when it moves to “Completed”.

The Quipu application credentials are sent to obtain the access token and, for each simplified invoice, the line descriptions, quantities, amounts, VAT rates, payment and issue dates, payment method, selected series, and technical labels with the order identifier and a stable reference. A generic contact named “Cliente general (factura simplificada)” is used, with country ES and a noreply address derived from the store’s domain. The buyer’s name, NIF/CIF, address, email address and telephone number are not sent.

Installation

  1. Install and activate WooCommerce.
  2. Upload the veltrio-simplificadas-quipu folder to /wp-content/plugins/ or install the ZIP from “Plugins > Add Plugin”.
  3. Activate “Veltrio – Facturas simplificadas para Quipu”.
  4. Open “WooCommerce > Simplificadas Quipu” and enter the App ID and App Secret for your Quipu account.
  5. Test the connection and select a simplified invoice series already created in Quipu.
  6. Choose the threshold that applies to your activity. Sending is not activated with €3,000 until you check the declaration displayed in the settings.
  7. Activate sending. Orders from before that first activation will not be sent automatically.

Do not activate another connector that processes the same orders.

FAQ

Should I choose the €400 or €3,000 threshold?

Choose €3,000 only if you sell physical products to private individuals (retail sales) or provide hospitality, restaurant, passenger transport, hairdressing or other services on the list in Article 4 of Royal Decree 1619/2012; if you sell services, courses or digital downloads, your limit is €400. If in doubt, consult your adviser. If you sell both types, choose €400.

The comparison uses the order total including VAT and shipping. An order of €400.00 falls within the general threshold; one of €400.01 does not.

What happens to orders that need a full invoice or the Pro version?

The free version does not send orders with a NIF/CIF: they are marked for a full invoice. The Pro version covers that flow and corrective invoices, but you must not keep both connectors operating at the same time. When it detects Pro, the free version becomes inactive and keeps visible any uncertainties and sends that may be in progress.

Notice when moving to Pro: When Pro is activated, there is a residual window of a few seconds between its detection and the execution of the first Action Scheduler batch. During that interval, a user could act with Pro on an order whose send by the free plugin was still in progress. The plugin mitigates the risk by marking uncertainties, references and locks in batches of 25, and keeps a persistent notice listing the orders that must be reviewed before using Pro. Explicitly deactivating the free plugin completes those batches synchronously, with a 20-second safety limit. If an exceptionally large store reaches that limit, the cursor and all remaining order IDs are kept, but the inactive free plugin cannot display its notice or continue processing them: reactivate it while Pro remains active, wait until the pending-order notice disappears, and deactivate it again. Do not use Pro on those orders in the meantime. To avoid the initial window, deactivate the free plugin and wait until no sends are in progress before activating Pro; review in Quipu any order identified by the notice.

What happens if I make a refund?

If the order already has a refund before it is sent, it is not sent automatically and is left for manual review. If the refund occurs afterwards, the free version does not correct the simplified invoice and displays this notice, replacing the placeholders with the actual data:

This order has a refund of {importe} € (recorded on {fecha}), after the simplified invoice {serie-número} that Quipu issued on {fecha}. This plugin does not create corrective invoices: in Quipu the invoice remains for the original amount, and so does your VAT return. You must issue in Quipu a corrective invoice for the simplified invoice {serie-número} for what you have refunded, with the VAT rate for each item refunded, including shipping or surcharges if you also refunded them. If the refund is only an amount and the order had products with different VAT rates, decide which products it corresponds to before making the correction. The rule requires this to be done as soon as you become aware of the return (Article 15 of Royal Decree 1619/2012; the limit is four years from when the tax becomes chargeable). It is advisable to do so in the same quarter as the refund. The Pro version automatically creates the corrective invoices for refunds that you record while it is active; you must correct this refund yourself.

What should I do if the customer adds a NIF/CIF afterwards?

The customer has added a NIF/CIF after the simplified invoice {serie-número} was sent to Quipu. This plugin does not modify it. If the customer needs a full invoice (normally to deduct VAT), issue it in Quipu as a replacement for the simplified invoice {serie-número}: it must include their NIF, name and address, and state which simplified invoice it replaces. Do not create a new invoice without linking it to the simplified invoice: the same VAT would be counted twice in your return. If Quipu does not offer this replacement, consult Quipu or your adviser before doing anything.

What happens if the customer enters a company but no NIF/CIF?

With the “Empresa = B2B” review enabled by default, the order is not sent automatically and displays this notice:

This order has NOT been sent to Quipu and still has no invoice: the customer entered a company ({empresa}) but no NIF/CIF. A company usually needs a full invoice to deduct VAT. Ask the customer for the NIF and issue the invoice in Quipu or, if you confirm that the customer is a private individual, send it as a simplified invoice using the “Reabrir y enviar” button in the Quipu panel. You are required to invoice this sale.
