 * hi and thank you for your reply. The site is still in construction and I have
   put it ‘live’ briefly to arrange an appointment and then cancelled it. You say
   that the cancellation message is sent when the user cancels. But how will the
   system know a cancellation email has been sent? Admin has to cancel the message.
   So I will have to change the wording on the reject template to read as a cancellation
   to confirm the cancellation to the customer. Thanks again. Peter
