    In our shop which links with an outside distribution network, when orders are completed the customers order details are updated with tracking code and tracking number. I would like this to be added to the completed email that is sent to the customer so they can track delivery. I have searched all through the forums, etc and tried several code snippets to add order notes but none seem to work. My feeling is that in this instance the Distribution company is adding the shipping details as an Order Note but as it has a purple background it must be adding it as a ‘private note’ so solutions I have found so far are unable to grab the information in the private notes.

    I would really like either code to add it to the customer_completed_order file in my child theme, or a function to add to my child theme functions file that will generate this private note. I realise it will generate other ‘private notes’ too but that usually reinforces what the client already knows.

    The important thing is we don’t want to have to manually send the tracking information, but want it automated.

    I appreciate any help you can give with this.

    Hi there,

    How is that distribution company adding those notes – is this through a plugin or are they manually logging into your site and then adding the notes?

    If it’s the former, the automated sending of the order confirmation email *with* tracking details would need to be triggered by their plugin.

    They add it via Unleashed so there is a OneSaas pluging that connects Unleashed with Woocommerce so orders products, etc are all synched with Unleashed

    A little depending on how the distribution company adds the order notes, would it be possible to ask them to add the deails to a custom field on the order instead?

    It’s quite easy to add a Shipping link field using Advanced Custom Fields and to automate sending out the email, you could either write code or use a plugin like WunderAutomation. We’ve written a post about a very similar usage scenario here:

    Initially I thought if the Distribution system is loading the tracking code and changing the order to completed that they would add the details to the completed order email but so far they tell me they don’t do that. The actual distribution system just stores and posts the goods (we are just a minnow in their warehouse), but I can clearly see the tracking info on the customer Order Notes so thought it wouldn’t be too difficult to add that to the email?

    For what it’s worth, the process you’re describing is the way that Shipment Tracking. Add that functionality to a process triggered by a 3rd party plugin/service would definitely require additional customisation (likely in the form of template overrides – more information at https://docs.woocommerce.com/document/template-structure/)
