If you run a WooCommerce shop alongside your Business Cloud installation, this plugin keeps both systems aligned automatically \u2014 so you can stop copying data between them by hand.<\/p>\n\n<h4>What it does, in plain terms<\/h4>\n\n<p>Once installed and connected with your API key, the plugin works quietly in the background in three directions:<\/p>\n\n<p><strong>Stock stays accurate.<\/strong> Stock levels from your ERP are pulled into WooCommerce on a schedule you choose \u2014 from every 5 minutes up to once a day. No more overselling items that already left the warehouse, and no more apologies to customers when \"in stock\" turned out to be wrong.<\/p>\n\n<p><strong>Prices stay in sync.<\/strong> Whenever you change a price in the ERP \u2014 a supplier update, a promotion, a seasonal adjustment \u2014 that change flows through to the matching WooCommerce product on its next sync, with VAT handled correctly based on your WooCommerce tax settings.<\/p>\n\n<p><strong>Orders flow where they need to go.<\/strong> The moment a customer's order reaches a status you choose (processing, completed, or anything else), the full order \u2014 customer details, line items, payment method, shipping method, invoice fields for B2B \u2014 is sent to the ERP. Your accounting and logistics see it without you doing anything. If an order ever fails to send, you get a clear error on the order screen and a <strong>Send to ERP<\/strong> button to retry once the issue is fixed.<\/p>\n\n<h4>Getting started<\/h4>\n\n<p>Setup is done through <strong>Business Cloud ERP<\/strong> in your WordPress admin and takes about 10 minutes for a typical store:<\/p>\n\n<ol>\n<li><strong>Connection tab<\/strong> <\/li>\n<\/ol>\n\n<p>Paste the API token you generated from your Business Cloud account (<em>Options \u2192 Settings \u2192 API Integration \u2192 Orders \u2192 Token<\/em>) and click <strong>Test New Connection<\/strong>. \nOnce the connection succeeds, the rest of the settings tabs become available.<\/p>\n\n<ol>\n<li><strong>Sync Settings tab<\/strong><\/li>\n<\/ol>\n\n<p>Turn stock sync and price sync on, and pick how often each should run (every 5 minutes up to once daily \u2014 independent intervals for each). \nFor orders, pick the WooCommerce statuses that should trigger an automatic send to the ERP (typically <em>Processing<\/em> and\/or <em>Completed<\/em>). \nIf you had previously entered older orders in the ERP by hand, set <strong>Skip Orders Up To ID<\/strong> to the last such order number so they are never re-sent.<\/p>\n\n<ol>\n<li><strong>Mapping tab<\/strong> <\/li>\n<\/ol>\n\n<p>Tell the plugin how your products match between the two systems by choosing what the ERP's <em>auxiliary<\/em> field represents (Product ID, SKU, or a custom meta key). \nThe plugin displays the WooCommerce payment gateway IDs and shipping method IDs \u2014 enter these same IDs in your Business Cloud ERP settings so both systems speak the same language. You also choose which gateways should mark orders as PAID vs UNPAID on arrival.<\/p>\n\n<ol>\n<li><strong>Invoice tab<\/strong><\/li>\n<\/ol>\n\n<p>If you collect invoice details (VAT number, tax office, profession), pick the invoice plugin you already use \u2014 Webexpert Timologio, Timologia for WooCommerce, or Greek VAT Invoices \u2014 and the plugin will read the correct fields automatically. \nFor B2B stores where every order is an invoice, switch the mode to <strong>Always (B2B)<\/strong>. \nOr, configure custom meta keys if you use a different solution.<\/p>\n\n<ol>\n<li><strong>Advanced tab<\/strong><\/li>\n<\/ol>\n\n<p>Choose the stock formula (<em>Stock \u2212 Reserved + Expected<\/em>, recommended for stores that use purchase orders, or <em>Stock \u2212 Reserved<\/em> for a more conservative count). \nSet a general VAT percentage only if WooCommerce taxes are disabled. \nLeave logging at <strong>Error<\/strong> for normal operation; switch to <strong>Debug<\/strong> temporarily if you need to investigate an issue.<\/p>\n\n<ol>\n<li><strong>Manual Sync tab<\/strong><\/li>\n<\/ol>\n\n<p>After the initial setup, click <strong>Update All Stock<\/strong> and <strong>Update All Prices<\/strong> once to pull everything in from the ERP in one go. \nA progress bar shows how far along each sync is. \nUse this tab again any time after major ERP changes.<\/p>\n\n<p>From that point on, the plugin runs on its own. Each order's sync status is visible in a new <strong>ERP Status<\/strong> column on the orders list and in a dedicated meta box on the order edit screen, where you can also manually resend an order if something went wrong the first time.<\/p>\n\n<h4>Requirements<\/h4>\n\n<ul>\n<li>WordPress 6.4 or later<\/li>\n<li>WooCommerce 8.5 or later<\/li>\n<li>PHP 8.2 or later<\/li>\n<li>A Business Cloud ERP account with API access<\/li>\n<\/ul>\n\n<h3>External services<\/h3>\n\n<p>This plugin connects to the Business Cloud ERP API at <code>https:\/\/app.businesscloud.gr<\/code>. The service is used to test the merchant's API connection, fetch ERP stock and price data for WooCommerce product updates, fetch ERP reference data, and send WooCommerce orders to the ERP.<\/p>\n\n<p>The plugin requires a Business Cloud ERP customer account and API token. It does not connect to Business Cloud ERP until a store administrator enters and tests an API token or enables sync\/order features.<\/p>\n\n<p>When testing the connection, syncing stock, syncing prices, or fetching ERP reference data, the plugin sends the saved API token in the request headers. Note that the token can only be created once and cannot be retrieved again \u2014 store it safely.<\/p><\/dd>\n<dt id=\"how%20does%20product%20matching%20work%3F\"><h3>How does product matching work?<\/h3><\/dt>\n<dd><p>The plugin matches ERP products to WooCommerce products using the \"auxiliary\" field returned by the ERP. In the Mapping tab you choose what this field represents \u2014 the Product ID, the WooCommerce SKU, or a custom meta field.<\/p><\/dd>\n<dt id=\"how%20often%20does%20stock%2Fprice%20sync%20run%3F\"><h3>How often does stock\/price sync run?<\/h3><\/dt>\n<dd><p>You can set independent intervals for stock and price sync, ranging from every 5 minutes to once daily. A configurable lookback window ensures no changes are missed.<\/p><\/dd>\n<dt id=\"what%20happens%20if%20an%20order%20fails%20to%20send%3F\"><h3>What happens if an order fails to send?<\/h3><\/dt>\n<dd><p>The error is displayed in the Business Cloud ERP meta box on the order edit screen. You can fix the issue and click \"Send to ERP\" to retry manually.<\/p><\/dd>\n<dt id=\"does%20the%20plugin%20support%20invoices%3F\"><h3>Does the plugin support invoices?<\/h3><\/dt>\n<dd><p>Yes. The plugin supports Greek invoice fields from Webexpert Timologio, Timologia for WooCommerce, and Greek VAT Invoices for WooCommerce. You can also configure custom meta fields.
