I've set up using the Garland theme, three column
Please, can anyone explain the basic essential differences between categories and pages.
The blog has blog info top RH corner on which people can subscribe. Is there anyway I can put a subscription box into the blog itself

Pages - basically where you place "static" content like About Us, Contact Us, etc.

You can add subscription box in your sidebar, inside Post and/or Page with http://wordpress.org/extend/plugins/subscribe2/

In my experience i use "categories" as general (short) descriptions of different groups of "Posts". Static "Pages" don't have "Categories"only posts have them.
I think that's where your getting confused. please someone correct me if i'm wrong :)

Subscribe2 does not work for me. I cannot see where to activate the plug in. It does not appear on settings. According to FAQ its has a limitred life to 2010, 6 months.
